Privacy Policy
Last updated: October 19, 2026
This policy applies to every Discord bot, website and dashboard published under UtilBots.com, including bots added in the future (together, the "Services"). It explains what information we handle, why, and the choices you have. Some bots have extra details at the end of this page. It should be read together with our Terms of Service.
1. Who is responsible
UtilBots.com ("we", "us") decides how and why information is handled by the Services. You can reach us at contact@utilbots.com.
2. Information we handle
- Discord identifiers and server details. When a bot is added to a server or someone uses it, Discord gives the bot IDs for the server, channels, roles and users involved, along with names and permissions needed to work.
- Command inputs and settings. What you type into a command and the settings you choose, such as an alert channel, a ping role, a daily digest time or a saved location (for example a ZIP code or city).
- Dashboard login. If a bot has a web dashboard and you log in with Discord, we receive your Discord ID, username, avatar and the list of servers you can manage, so we can show you the servers you are allowed to configure. We do not receive your Discord password.
- Billing. If you buy a paid plan, our payment processor (currently Stripe) collects your payment details. We receive limited information back, such as a customer and subscription reference, the plan, its status and the payment amount and date. We do not see or store your full card number.
- Technical logs. Our servers and proxy may record IP addresses, request details, timestamps and error messages for security, abuse prevention and troubleshooting.
- Messages. Our bots respond to slash commands and the actions you take on their buttons and menus. We do not read or store the ordinary messages people write in a server unless a bot's section below says a specific feature needs it.
3. How we use it
- to run the features you asked for, such as posting alerts or forecasts to the channel you chose;
- to keep your settings, plan limits and subscription status;
- to secure the Services, prevent abuse and fix problems;
- to provide support when you contact us; and
- to improve the Services using aggregate or de-identified information.
We do not sell your personal information, and we do not use it for advertising.
4. Who we share it with
- Discord, because the bots run on it. Discord's Privacy Policy applies to what you do there.
- Our payment processor (currently Stripe) to take payments, manage subscriptions and handle refunds.
- Data providers a feature needs. For example, a weather bot sends a location to government weather services to get a forecast. We send only what is needed for the request.
- Hosting and infrastructure providers that run our servers, under their own security commitments.
- Authorities and others when the law requires it, to protect rights, safety and the Services, or in a sale or transfer of the Services (in which case this policy continues to apply unless we notify you).
5. Cookies
This index site does not use advertising or analytics cookies. Bot dashboards use a necessary session cookie to keep you logged in, and it is removed when you log out or the session expires.
6. How long we keep it
We keep settings and plan information while a bot is in your server or your account is active. When a bot is removed from a server, or you ask us to delete data, we delete the related settings within a reasonable time, normally within 30 days, except where we must keep something for legal, tax or fraud-prevention reasons. Technical logs are kept for a short period and then deleted or overwritten. Billing records may be kept by us and our payment processor for as long as the law requires.
7. Security
We use reasonable measures to protect information, including encrypted connections (HTTPS), restricted access to our servers and keeping secrets out of public code. No system is perfectly secure, so we cannot guarantee absolute security. If we learn of a breach that affects you, we will notify you as the law requires.
8. Your choices and rights
You can:
- ask what information we hold about you, or for a copy;
- ask us to correct or delete it, including the data for a server you manage;
- remove a bot from your server at any time, which stops it receiving new data from that server; and
- cancel a paid plan from the bot's dashboard or billing portal.
Email contact@utilbots.com from the Discord-linked or billing address so we can verify it is you. Depending on where you live, you may also have rights under laws such as the GDPR or the California Consumer Privacy Act, including to object to or restrict certain uses, to data portability, and to complain to your local data protection authority. We will not treat you differently for using these rights.
9. Children
The Services are not directed at children. You must meet Discord's minimum age in your region to use Discord and our bots. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.
10. International use
Our servers and providers may be in the United States or elsewhere, so your information may be processed outside your own country. Where the law requires, we rely on recognised safeguards for such transfers.
11. Changes to this policy
We may update this policy. The date at the top shows the latest version, and for material changes we will give notice, for example in a bot's support channel or on its site.
12. Contact
Questions or requests about privacy: contact@utilbots.com, or ask in our support server.
Bot-specific details
StormBot (stormbot.utilbots.com)
- Saved regions. StormBot stores the places you save (a ZIP code or "City, ST") and the alert channel, role, severity filters and daily-digest settings you choose, so it can post the right alerts and forecasts.
- Location sharing. To get weather data, StormBot sends the saved location or its coordinates to the National Weather Service and related public services. It does not request your device's precise location.
- Weather Radio. The
/nwrcommand connects the bot to a voice channel to play a public NOAA broadcast. StormBot does not record or store voice chat audio. - Plans. Plus and Pro subscriptions are processed as described in section 2 and our Terms.
